When you create an account or your organization registers with Watheeq, we collect account information such as full name, username, email address, organization/realm name, password (stored in hashed format), and role and permission settings. We also store the documents and files you upload to the platform — PDFs, images, spreadsheets, and other supported types. We do not access or review your documents except as necessary to provide the service (e.g., watermarking, thumbnail generation). Additionally, we automatically collect:
- Login timestamps
- File access and sharing activity logs
- Browser type and device information
- Pages visited and features used
How We Use Your Information
We use the collected information to:
- Provide, operate, and maintain the document management service
- Authenticate users and manage access permissions
- Process document watermarking, sharing, and digital signatures

- When you share documents with other users or via share links
- With service providers who assist in operating the platform (under strict confidentiality agreements)

Data Retention
We retain your data for as long as your account is active or as needed to provide services. Documents in the trash are permanently deleted after the configured retention period. When an organization's subscription ends, data is retained for 90 days before permanent deletion, unless otherwise required by law.
