When you create an account or your organization registers with Watheeq, we collect account information such as full name, username, email address, organization/realm name, password (stored in hashed format), and role and permission settings. We also store the documents and files you upload to the platform — PDFs, images, spreadsheets, and other supported types. We do not access or review your documents except as necessary to provide the service (e.g., watermarking, thumbnail generation). Additionally, we automatically collect:

• Login timestamps
• File access and sharing activity logs
• Browser type and device information
• Pages visited and features used

We use the collected information to:

• Provide, operate, and maintain the document management service
• Authenticate users and manage access permissions
• Process document watermarking, sharing, and digital signatures
• Generate audit trails and activity logs for compliance
• Send service notifications and updates
• Improve and optimize the platform
• Respond to support requests
• Comply with legal obligations

We implement industry-standard security measures to protect your data, including encryption of data in transit (TLS/SSL) and at rest (AES-256), secure password hashing using modern algorithms, role-based access control and realm isolation, regular security audits and vulnerability assessments, and session management with secure cookie configuration. Your documents are stored within your organization's realm and are not accessible to other organizations or users without explicit permission.

We do not sell, trade, or rent your personal information. We may share data only in the following circumstances:

• With your organization's administrators as part of realm management
• When you share documents with other users or via share links
• With service providers who assist in operating the platform (under strict confidentiality agreements)
• When required by law, regulation, or legal process
• To protect the rights, property, or safety of Watheeq, our users, or others

We retain your data for as long as your account is active or as needed to provide services. Documents in the trash are permanently deleted after the configured retention period. When an organization's subscription ends, data is retained for 90 days before permanent deletion, unless otherwise required by law.

You have the right to:

• Access your personal data stored on the platform
• Request correction of inaccurate information
• Request deletion of your account and associated data
• Export your documents at any time
• Withdraw consent for optional data processing

We use essential cookies to maintain your session and preferences. These cookies are necessary for the platform to function and cannot be disabled. We do not use third-party tracking cookies or advertising cookies.

Watheeq is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.
